World Vision International-Afghanistan undertook a digital transformation of its procurement, inventory tracking, and documentation systems. This shift from paper-based processes was driven by a commitment to environmental stewardship and a need to improve operational efficiency and accountability.
Why Digitalize?
The initiative aimed to achieve multiple goals:
• Environmental Impact: Reduce carbon emissions from transportation, physical document delivery, and paper waste.
• Efficiency: Streamline procurement workflows, reduce manual paperwork, and shorten processing time.
• Transparency & Accountability: Improve audit trails, reduce human error, and ensure better compliance with procurement policies.
• Resilience: Adapt to remote work requirements and limited mobility, especially during crises (e.g., COVID-19, conflict disruptions)
How We Did It
The digital rollout followed a phased, inclusive approach:
1. Assessment of Current Processes: Reviewed existing procurement practices and identified inefficiencies and environmental impacts.
2. Tool Selection: Introduced e-procurement platforms and digital documentation systems, ensuring they were user-friendly and mobileaccessible.
3. Policy Alignment: Revised procurement policies to support esubmissions, e-signatures, and paperless workflows.
4. Capacity Building: Conducted digital training sessions for staff and vendors through Supplier Forums.
