Administrative Manager

Position Title: Administrative Manager
Location: National Headquarters – Tower
Reports To: Assistant Secretary General for Corporate and Business Services
Direct Reports: Administration Office Staff

Purpose Statement:

  • To assume top level responsibilities in the formulation of policies, guidelines, rules and regulations that will ensure the effective and efficient functioning of the operative divisions/offices directly under his/her line of authority. Accordingly, he/she shall see to the highest productivity of the operations of these divisions/offices ensuring that all their activities are planned, directed, controlled, and carried out in accordance with pre-established schedules and standards.

Duties and Responsibilities:

Administrative Management

  • Assist top management in involving and implementing programs to address the organizations administrative concerns
  • Administrative Services which shall take care of the maintenance of all real properties of the PRC Including Building at NHQ and the The Namayan Warehouse. At National Headquarters it shall take steps in necessary to keep the building in good repair, effect economy in the use of light and water and ensure adequate security and janitorial services. It shall likewise formulate necessary guidelines to adopt the above-mentioned measures in the chapter. Its shall be responsible for the postal requirements at NHQ.
  • Undertake periodic review, evaluations and cost-benefit-analysis (CBA) of programs and activities of the offices under his/her line of authority with the end in view of promptly addressing any problems encountered and initiates interfacing of accomplishment vis-à-vis budget appropriations
  • Oversee day to day operations
  • Develop organizational policies
  • Maintaining corporate relationships
  • Monitoring operating expenses
  • Updating executives on business performance
  • Ant other duties may assign to him

Procurement, Warehouse, and Fleet Management

  • Oversee the operations of Procurement, Warehouse and Fleet Unit
  • Logistics which shall involve the procurement, storage, maintenance, and distribution of supplies and equipment. It includes proper utilization and maintenance of all motor vehicles of PRC.
  • Supervise all aspects of procurement of PRC Materials and Supplies, goods, commodities and other equipment ensuring that all purchases are effected in accordance with PRC policies and procedures that will greatly affect PRC’s profitability
  • Strategically manage the Warehouse Unit in compliance with company’s policies and vision and Oversee receiving, warehousing, distribution, reporting, and maintenance operations
  • In charge of all facets of the transportation activities of an organization, including: Maintain departmental compliance with company policies and procedures. Ensure departmental adherence to applicable laws and regulations

General Services Office Management

  • Supervise the overall operations of General Services Office and the inventory and maintenance of all real estates of the PRC to include buildings at the National Headquarters and the Namayan Warehouses

Management Information System/ Information Technology

  • Maintain a date base on services, finance, personnel and administrative requirements and information sharing through networking, analysis and decision making, as maybe required by management. Ensures that the network is always updated in terms of software and hardware requirements and working effectively according to its purpose

Qualifications / Minimum Education:

  • Bachelor’s Degree in Business Administration, and with relevant continuing professional development training and courses and Post Graduate Studies

Work Experience & Skills:

  • At least five (5) years of managerial experience in administrative function and management in related field
  • Excellent business acumen, reporting and problem-solving skills
  • Leadership and management experience
  • Excellent written and verbal communication skills
  • Demonstrated proficiency with applications such as Word, Excel, PPT
  • Exceptional interpersonal skills, including coaching and training
