Position: Dana Asia Administrator
Reports to: Dana Asia Operations Manager
To provide financial, administrative and operational support to the Dana Asia team.
HR and Good Governance
Conduct background checks for new staff.
Oversee all DA policies, revise when necessary and ensure they are kept up to date and in accordance to current regulations and best practice.
Donor and project management (as support for the DA Finance team and Management):
Work with DA Finance team to issue invoices and receipts for donor payments.
Work with DA Finance team to process grant fund transfers to partner charities.
Work with DA Finance team to process other payments to DA projects where necessary.
Work with DA Finance team during audits to provide all invoices and receipts as necessary.
7. Manage existing loan agreements to ensure repayments are made and redraft and execute where necessary.
8. Ensure staff payments and other bills are paid on time and that all record keeping is correctly maintained.
Be point of contact for the DA Company Secretary and provide compliance and due diligence documents when required.
Work with DA Company Secretary to ensure Charities Unit (DA Singapore) is kept up to date.
Update the ACNC register annually post-financial year with up to date charity details for DA Australia.
Ensure DA insurances are kept up to date.
Induction of all DA volunteers, including briefing on policies, volunteer induction process and background checks where required.
Assist with the obtaining of fundraising licenses in Australia.
Oversee and coordinate the travel arrangements of DA staff members
Oversee the diaries for annual, quarterly and monthly processes
Assist with Communications to donors and other stakeholders including the sending of regular newsletters, project updates
Work with the international DA teams, including Manila and Cambodian teams, to ensure timely and effective communications on all matters
Provide research assistance for potential new clients of Dana Asia
Assist with the development of Dana Asia’s website and other social media.
Other duties as required.
Experience and skills desired:
Fluent English speaker
Advanced Computer skills, including all Microsoft Office
Strong communication skills and an enquiring mind with proactive work ethic
Experience in working in a busy office environment with remote locations
Ability to take initiative and excellent time management
Filipino national preferred.
This role will be based out of Dana Asia’s Grameen Philippines Social Business Hub office in Cabao, Manila.
Some travel maybe required around Philippines and internationally.
Six-month probation period.
This is a full-time role
Salary between 20,000 – 30,000 Php, depending on experience.
